Ideal format for Cover Letter

A Cover Letter is a formal document. Thus, you must follow a proper format to ensure you do not set a wrong impression through your Cover Letter in front of the employer. The simple design of the Cover Letter which you should follow is as follows: 

  • Address: while looking through the job description, always try to find out who has posted it, whether by the HR manager or the department manager. You should directly target the person who will be reading the cover letter that you will submit. The address part must concern the following person of the company so that there could be a personalized touch to your request. Directly addressing the person with the position will give a great impression to the recruiter.
  • First Paragraph: The first para must highlight your reason for writing the letter and for what position you are applying so that the reader can read out the rest of the Cover Letter by keeping that thing in their minds. You can also state the medium you got to know about the job posting and your availability so that the recruiter can get an idea about it. The first part is the opening para which should be expanded uselessly so that recruiters do not feel bored.
  • Second Paragraph: it is one of the most crucial parts of the Cover Letter. Here you have to sell yourself, be creative about this part. Tell your experience, strength, and skills but remember you need to do all of this subtly so that the recruiter does not find you exaggerating. It would be best if you covered everything in a way so that you seem interested in contributing your best to the company and learning from the company. Not that without you, the company cannot get prosperous, but with you, the company will get talented human resources.
  • Third Paragraph: You must reflect on all you know about the company. Why do you think the company is the best place for you, and why have you applied to be a part of it? Here you can also talk about some of the company’s ongoing projects or the past work which inspired you. You can also reflect you’re the skills necessary for the recruiter to know that you will adapt according to the company quickly.
  • Last Paragraph: This is the Paragraph in which you must close your Cover Letter. State your desire to get the opportunity to be interviewed by the recruiter for the job. You can also mention any date you might not be available for the interview, just in case.
  • Ending: You need to sign off on the Cover Letter. Use “Yours Sincerely” if you have addressed the letter to a certain someone in the organization. If not, end with “Yours Faithfully”. Remember not to use informal greetings in the Cover Letter because, as we discussed, it is a highly formal document.
